Prospecting playbookHow to Build a B2B Prospecting List That Converts
· Independent editorial guide
Build a focused B2B prospecting list with clear ICP criteria, source checks, qualification scores, and a repeatable refresh process.
Start with a buying hypothesis
A useful prospect list is not a collection of every contact in a market. Write down the situation in which your offer is valuable: for example, a bookkeeping service may target growing agencies that have hired their first finance manager but still lack an internal controller. Record industry, company size, location, operating model, and a trigger that makes outreach timely.
Turn the hypothesis into filters
Create required filters and optional signals. Required filters might be 10–100 employees, US-based, and professional services. Optional signals might include hiring activity or a recently launched service line. Avoid overfiltering: a company that misses one optional signal may still be a strong fit.
Build an account-first worksheet
Use columns for company, website, industry, employee band, trigger, source URL, target function, candidate contact, email verification status, last checked, and owner. Research the account before selecting a person. For a payroll integration, the right function might be operations at a 20-person firm and finance at a 300-person firm.
Score fit separately from reachability
Assign simple scores: account fit (0–3), problem evidence (0–3), timing (0–2), and contact confidence (0–2). A 7/10 account with a verified route to the right person deserves more attention than a 9/10 account with an unverified generic inbox. Scores are a prioritization aid, not a prediction of conversion.
Validate before outreach
Sample a portion of records and check role, company, email format, and source freshness. Keep unknowns explicit. Remove duplicates and suppress opt-outs. Use a staged sequence with a relevant observation, a specific question, and a respectful stop condition.
Review the list weekly
Track usable records, replies by segment, bounced addresses, wrong-person responses, and meetings that fit your qualification criteria. Revise the filters when an entire segment produces poor fit; do not simply add more names.

Choose an exclusion rule
Define who must not enter the list, such as current customers, competitors or firms outside the service territory. Exclusions protect the sales team from wasted effort.
Audit a sample manually
Inspect 20 records for duplicate domains, current roles and business fit. If errors cluster in a particular segment, change the sourcing rule before scaling.
Prioritize by reason to buy
Document a plausible business trigger for each priority account; a generic industry label alone rarely makes a list actionable.
